The Out of Area Foundation processes your personal data for the following purposes:

Booking hotel accommodations for the project trip for which you are registered.

Booking travel and accident insurance for the project trip for which you have registered

Sharing medication use and health data with healthcare professionals in the event of emergencies

Keeping them informed about the latest developments

Sharing photos. We are active on social media platforms such as Facebook, Twitter, Instagram, Google+, and YouTube. There, we share photos, stories about experiences, and the progress of our projects with anyone who is interested.
Good to know
We never use sensitive data related to religious beliefs, political or philosophical convictions, sexual orientation, or ethnic origin.
Automated decision-making
Out of Area Foundation does not make decisions based on automated processing that could have consequences for individuals. These are decisions made by computer programs or systems, without the intervention of a human being (for example, an employee of Out of Area Foundation).
How long we retain personal data
Out of Area Foundation does not retain your personal data longer than is strictly necessary to achieve the purposes for which your data is collected. We apply the following retention periods for personal data:

Personal data, personal details, and health data > 1 year. For organizing the project trip for which the participants are registered. And for handling any emergencies.

Name and email address > 5 years. For inviting participants to reunions and events.
Sharing personal data with third parties
Stichting Out of Area does not sell your data to third parties and only provides it if this is necessary for the execution of our agreement with you or to comply with a legal obligation. We have a data processing agreement with companies that process your data on our behalf to ensure the same level of security and confidentiality of your data. Stichting Out of Area remains responsible for these processing operations.
Cookies, or similar technologies, that we use
Out of Area Foundation does not use cookies or similar technologies.
Access, modify, or delete data
You have the right to access, correct, or delete your personal data. You also have the right to withdraw your consent to the processing of your personal data or to object to the processing of your personal data by Out of Area Foundation, and you have the right to data portability.
This means that you can submit a request to us to send the personal data we hold about you in a computer file to you or another organization you specify.
You can send a request for access, correction, deletion, or transfer of your personal data, or a request to withdraw your consent or object to the processing of your personal data, to info@outofarea.nl.
To verify that the request for access has been made by you, we ask that you include a copy of your ID with the request. In this copy, please redact your passport photo, MRZ (machine readable zone, the strip with numbers at the bottom of the passport), passport number, and Citizen Service Number (BSN). This is to protect your privacy. We will respond to your request as soon as possible, but within four weeks.

How we protect personal data
Online registration forms via the eu.123formbuilder.com platform. Our digital registration forms are hosted on Amazon Web Services, and the platform is closely monitored 24/7 for potential threats and unauthorized activity, such as Man-in-the-Middle Attacks or IP Spoofing. The system has a 256-bit SSL connection path. All data is encrypted and stored securely on Amazon servers in multiple data centers.
Storage and email processing via SharePoint/Office 365. Office 365 is a highly secure service (integrated SaaS solution). At the service level, Office 365 uses an intensive protection strategy to ensure the best security features and operational procedures at the physical, logical, and data levels.
